Booster Clubs Explained

A booster club is a group of parents, community members, and supporters who work together to raise money and provide support for a school's extracurricular programs. These clubs help fund activities such as sports teams, band, choir, drama, academic clubs, and other student programs that may not receive enough funding from the school or district.

A Booster Club performs the following functions for students:

Fundraising: Organizes events, sells merchandise, and collects donations to support student programs.

Financial Support: Helps cover costs for equipment, uniforms, travel expenses, competition fees, and other needs.

Volunteering: Provides manpower for events, concession stands, ticket sales, and other activities.

Community Building: Encourages school spirit and strengthens connections between students, parents, and the community.

Booster clubs are usually run by volunteers and rely on donations, sponsorships, and fundraising efforts to support student activities. Some clubs operate informally, while others register as 501(c)(3) nonprofits to gain tax-exempt status and make donations tax-deductible.

Booster Clubs Need to be Non-Profits

Tax-Exempt Donations
With 501(c)(3) status, donations made to the booster club are tax-deductible for donors. This encourages more people and businesses to contribute, increasing fundraising potential.

Sales Tax & Income Tax Exemption
A tax-exempt booster club can avoid paying federal income tax on the money it raises. In some states, it can also apply for sales tax exemption, reducing costs when purchasing equipment, uniforms, or supplies.

Eligibility for Grants & Corporate Sponsorships
Many businesses, foundations, and government agencies only donate or give grants to organizations with official nonprofit status. Without 501(c)(3) status, a booster club may be ineligible for these additional funding sources.

Legal Protection & Financial Transparency
Operating as a recognized nonprofit provides a clear structure for handling money, preventing misuse of funds, and ensuring proper record-keeping. It also helps protect board members and volunteers from personal liability.

Smooth Leadership Transitions
With a structured 501(c)(3) status, financial accounts and legal documents remain with the booster club--not with individuals. This makes transitions between leadership easier and reduces the risk of mismanagement.

Builds Credibility & Trust
A booster club with official nonprofit status appears more legitimate and trustworthy to donors, sponsors, and the school administration. This helps build long-term relationships and sustain fundraising efforts.

By obtaining 501(c)(3) status, a booster club can raise more money, operate legally, and better support students without unnecessary financial or legal risks.

BoosterReady™ Chapter Explained

A BoosterReady™ Chapter is a local organization or branch that operates under the BoosteReady™ system, typically established to support a specific school's booster club or a community-based initiative. Each chapter is designed to streamline the management of fundraising, finances, and volunteer coordination, helping school programs like sports, arts, or academics by providing organized support and resources. These chapters are integral to managing the day-to-day operations of a booster club, ensuring that funds are allocated effectively to support the needs of the students and educational programs they serve.

The BoosteReady™ Chapter model allows local booster clubs to function more efficiently by leveraging a national system of tools and best practices. Chapters benefit from standardized processes and administrative support, which reduces the burden on local volunteers and ensures greater accountability. This structure helps chapters create sustainable fundraising programs, manage transitions of officers, and provide continuity in leadership, ensuring that the support for the school's programs remains strong over time. Overall, a BoosteReady™ Chapter fosters a sense of community and collaboration while enhancing the impact of the fundraising efforts it supports.

BoosterReady™ IRS Compliance

BoosterReady follows strict guidelines to ensure all funds are managed legally and transparently, keeping each booster club compliant with IRS regulations for 501(c)(3) nonprofit organizations. Here's how:

Tax-Exempt Oversight
Since BoosterReady operates under a parent nonprofit's 501(c)(3) status, it ensures that all booster clubs (or "Charter Programs") follow IRS rules for tax-exempt organizations. This includes using funds only for approved charitable purposes that align with nonprofit guidelines.

Financial Accountability
BoosterReady manages all financial transactions, ensuring money is used properly. This includes:
  • Dedicated Bank Accounts - Each booster club has its own account under BoosterReady's oversight.
  • Secure Payment Processing - Donations are processed through a verified system to ensure tracking and compliance.
  • Authorized Spending - Booster clubs must report expenses and provide documentation for all purchases.
Required Reporting & Documentation
To maintain tax-exempt status, BoosterReady requires booster clubs to submit regular financial reports. These include:
  • Incoming Funds - Donations (cash, checks, credit cards) must be documented, and donor receipts are issued.
  • Outgoing Funds - All expenses must be properly recorded with receipts, purpose of payment, and recipient details.
  • Annual Summaries - Booster clubs submit reports on activities, spending, and impact to ensure continued compliance.
IRS Filings & Record-Keeping
BoosterReady handles the necessary IRS filings, including Form 990, which reports financial activity and confirms ongoing nonprofit compliance. Proper record-keeping prevents issues like tax penalties or revoked nonprofit status.

Training & Support for Booster Clubs
BoosterReady provides guidelines, tools, and support to ensure each booster club understands how to manage funds correctly. Training covers:
  • What expenses are allowed under IRS rules
  • How to track and report donations and spending
  • Legal responsibilities of treasurers and program leaders
Preventing Misuse & Protecting Nonprofit Status
If funds are misused or documentation is missing, BoosterReady steps in immediately to correct the issue. Failure to comply may result in tax liabilities or revoked access to funds, ensuring that only legitimate booster clubs maintain nonprofit privileges.

By following these strict compliance measures, BoosterReady helps booster clubs stay in good standing with the IRS while making fundraising simple, legal, and worry-free.

Your Booster Club is Completely Autonomous

With BoosterReady™, your booster club maintains full control over planning events, fundraising, and supporting your program--while we handle the legal and financial compliance. Here's how it works:

You Run Your Own Events
Your booster club can organize and host events just like before! Whether it's a:
  • Fundraising dinner
  • Athletic tournament
  • Theater production
  • Community fundraiser
BoosterReady™ provides guidance on compliance but does not interfere with how you plan or execute your events.

You Decide How Funds Are Used
All money raised belongs to your booster club and is reserved exclusively for your program. Your leadership team decides how to spend the funds, as long as it aligns with nonprofit regulations.

Secure Fund Management
While BoosterReady™ manages the financial structure, your club still has access to funds. This means:
  • Visa Cards - Treasurers and authorized members can use BoosterReady™-provided debit cards for expenses.
  • Bank Account Access - BoosterReady™ sets up an account under its nonprofit umbrella, and your club members can request and track payments.
  • Reimbursements & Direct Payments - You can request reimbursements or direct vendor payments with proper documentation.

Easy Donations & Payment Processing
BoosterReady™ provides a secure donation system, so you can easily collect:
  • Credit/Debit Card Donations - Share your unique donation link online or at events.
  • Check Deposits - Deposit checks directly using the mobile banking system.
  • Cash Donations - Deposit cash at approved ATMs, keeping records for compliance.

No Disruptions When Leadership Changes
Since BoosterReady™ maintains the financial structure, leadership transitions are smooth. New officers step in seamlessly without needing to update legal documents or worry about missing financial records.

You run your events and decide how funds support your program.
You manage fundraising efforts while BoosterReady™ handles compliance.
You access and use your funds with oversight to protect nonprofit status.
With BoosterReady™, you get the freedom to focus on your mission--without the legal and financial headaches!
